This policy states the type of information we will collect, and how we then use, store and protect your personal information when you contact us, make an appointment or receive a treatment. 

 

The type of personal information collected

To be able to provide professional reflexology  and / or any other holistic therapy treatments, we will need to ask you questions about your health, your well-being and your lifestyle. We will then use this requested information to inform reflexology treatment, any other therapy treatment and any advice/after care then provided. This information will then be held by us.

  • Your contact details (name, address, email, telephone number, emergency contact name and number)

  • Personal information 

  • Current medical information, including Medical history and other health-and well-being related information

  • Information relevant to the treatment. Appointment and booking details, consultation, treatment, after care details and any other related notes 

  • Payment / financial details where necessary to record payment

  • Any other information you provide to us

How we get the personal information and why we hold it: Most of the personal information we process is provided to us directly from you when you

Payments for treatments and/or gift vouchers are accepted by cash, bank transfer or via trusted digital payment providers.

We do not normally collect or store debit or credit card details.

Payment records may be retained as part of our financial and accounting records where required for legitimate business or legal purposes. 

 

Communications / electronic communications 

We may contact you by telephone, text message, watts app, email or social media platforms. In relation to

Whilst reasonable steps are taken to protect your information, no method of electronic communication can be guaranteed to be completely secure. By choosing to communicate through these methods, you acknowledge and accept this risk.

Our website may contain links to other sites of interest.  Once you leave our site and click into another site of interest, you should be informed that we have no control over that site. Therefore we can not be responsible for the protection and security of any information whilst visiting those sites. Any other sites visited via links will not be under the governance of this policy.

Lawful Basis for holding and using Client Information

Under the UK General Data Protection Regulation (UK GDPR), the lawful basis we rely on for processing this information are:

 

(a) Your consent. You can remove your consent at any time. You can do this by emailing or writing to us using the contact details stated within this policy. Withdrawal of consent does not affect the lawfulness of any processing carried out before consent was withdrawn.

We have a legal obligation:

1.1.  ‘Claims occurring’ insurance: (records to be kept for 7 years after last treatment)

1.2.  Law regarding children’s records (records to be kept until the child is 25 or if 17 when treated, then 26)

1.3.  CNHC requirements to retain information for 8 years

 

We have a legitimate interest [our requirement to retain the information to provide you with the best possible treatment options and advice]

As we hold special category data under the UK GDPR (i.e. health and treatment related information), the additional condition under which we hold and use this information is: for us to fulfil our role as a health care practitioner (including specifically as a reflexology practitioner bound under the AoR Confidentiality requirement as defined in the AoR Code of Practice and Ethics). Clients should provide accurate and relevant information about health and well-being so that treatments can be provided as safely and appropriately as possible. Processing of health related information is necessary for the provision of treatment. We need to comply with legal or statutory obligation.

Protecting your Personal Data. 

How we store your personal information. We are committed to ensuring that your personal data is secure. Client information will be stored securely in either digital or paper format depending on the nature of the information and how it is collected. In order to prevent unauthorised access or disclosure, we have put in place appropriate technical, physical and organisational procedures to safeguard and secure the information we collect from you. We retain client information only for as long as reasonable necessary, taking into account legal, professional, insurance and business requirements.  We keep only manual paper based consultation and treatment forms for eight years. Any device held contact information will be deleted once treatments are completed. After eight years we will dispose of your personal paper information by shredding any paper based client information. 

 

Your Data Protection Rights

Under data protection law, you have rights including:

Your right of access. You have the right to ask us for copies of your personal information.

Your right to rectification. You have the right to ask us to rectify personal information if you think it is inaccurate. You also have the right to ask us to complete information if you think the information is incomplete.

Your right to erasure (also called the right to be forgotten).  You have the right in certain circumstances to ask us to erase any personal information we hold about you.

Your right to restriction of processing. You have the right to ask us to restrict the processing of your personal information in certain circumstances.

Your right to object to processing. You have the the right to object to the processing of your personal information in certain circumstances.

Your right to data portability.  You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.

Some of these rights are subject to legal conditions and exemptions.

You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.

Data Breaches 

If we become aware of a personal data breach, we will assess the nature and seriousness of it and take appropriate action.

Where legally required we will notify the Information Commissioner’s Office and affected individuals within required timescales. 

 

Therapists Rights

Your therapist may not be able to treat you, if you don’t agree to your therapist keeping records of information about you and your treatments, or if you don’t allow them to use the information in the way they need to for treatments. 

 

Your therapist must keep your records of treatment for a certain period as described above, which may mean that even if you ask them to erase any details about you, they might have to keep these details until after that period has passed. 

 

Your therapist can move their records between their computers and IT systems without your permission if your details are protected from being seen by others.

 

Changes to this privacy policy

We occasionally may make changes to this privacy policy. The date at the top of this privacy policy will be updated when changes are made. If any change allows for wider access to data, such changes will only apply to data collected after the date of the updated privacy policy.
